  • Asset Register

    Asset Register

    Accessed from the Inventory Tab. It displays details for all equipment and instruments. Issue and administer instrument loans from here and list and display information in multiple formats. The inventory can produce a printed asset register form that complies with CASES 21 requirements for DEECD asset registers. TOP

    Enrolled Student List

    This is the main working layout within Music Office. It displays all enrolled music students listing teachers, ensembles, subjects, hired instruments and other details with links to other frequently used information. As with all screen layouts, data can be searched, sorted, printed and displayed in the standard list view or the customisable table view. TOP

  • Printed ensemble rolls

    Ensemble and Teacher Rolls

    Music Office will print rolls for ensembles and instrumental lessons as well as allow online roll marking over a network. Daily attendance can be viewed and printed by the individual teacher or an administrator. Student attendance history can also be searched, displayed or printed. Rolls are accessed from the Ensembles tab or the Teachers tab. TOP

  • Excursion Forms

    Excursion Forms

    A variety of excursion formats are available within Music Office. Forms are easy and quick to create with general school information already in place and fully editable drop-down lists are provided for selecting appropriate information. Excursion forms are fully integrated with student lists and ensemble rolls and can be individually addressed if required. Excursion forms are accessed via the Excursions tab. TOP

    Exams

    A choice of AMEB or ABRSM exams is offered within Music Office. Student entries are quick and simple with drop-down lists provided for most information. Prices and codes are automatically entered and details such as date of both and middle name(s) will appear instantly. Music Office provides a wizard for completing entry forms to simplify the process. TOP

    This page provides a printed list of Instrumental Music Staff that can be distributed to other areas of the school. The list includes full name and contact details and photograph, days of attendance, instruments taught plus a weekly schedule. TOP

    Instrumental Teacher Details

    Details entered here for instrumental staff are used for timetabling, room allocation and student lesson allocations as well as contact details and general administrative information. It is accessed via the Teacher tab and the Teacher Details button. TOP

    Maintain instrument loans with Music Office. Record fees paid and owing, status of instruments; whether on loan, in store, damaged or out for repair. Search, display and print any data related to your instrument inventory. Drop-down lists simplify most processes. TOP

    Quickly issue invoices for items sold from the music department. Items such as reeds and valve oil etc. can be entered with prices and are available from drop down menus for instant construction of invoices. Lists of invoices due and overdue can be published and receipts issued. TOP

    Music Library Catalogue

    Music Office contains a complete system for cataloguing sheet music that is adaptable to the needs of individual users. As with other parts of Music Office, information from existing databases in excel or word etc. can be imported. The library can administer loans and display and print catalogue information in a variety of formats. This is accessed from the Library tab. TOP

    Music Catalogue Wizard

    As with many other functions in Music Office, the library features a wizard to assist with the cataloging procedure. A series of sequential steps is provided to guide users through the process from creating a new entry to selecting customisable categories and sub-categories. Music Office will also print labels with call numbers and other information. This is accessed from the Library tab then the Catalogue Wizard button. TOP

    Music Office can create ensemble stage plans for any musical ensemble in a variety of styles and comes with a selection of common venue floor plans included. A comprehensive set of clip art icons is provided to cover most percussion instruments and musical equipment. Custom floor plans and icons can be created and loaded by the user or are available from JaMTech. This page is opened via the Stage Plans tab. TOP

    Music Office contains a variety of timetable formats that conform to the lesson or period schedule entered for each school. Each layout is customisable with photos and/or clip art and includes a field for special messages. Timetables are accessed from the Timetable and Teacher tabs. TOP

  • Timetable Wizard

    Timetable Wizard

    A unique feature of Music Office is the Timetable wizard. As with other Music Office "wizards" a series of sequential steps is provided to guide users through the process allowing timetabling constraints to be entered for scheduling lessons on specific days or periods. Times to avoid may be entered as well as fixed lesson times. Even scheduling lessons around school events is possible. The Timetable wizard is started from the Timetable tab. TOP

    Music Office runs on both Windows and Macintosh. A combination of platforms is also possible when networked.

    How long is the installation process?
     
     
    Installation of the Music Office files themselves is a very quick procedure. Customers are provided with a secure link to download customised files from our website for installation. The time required to import existing data will depend on the size of the music program in the school and how many features of Music Office are required initially.
     
    Can I import existing data?
     
    A significant feature of Music Office is that existing data can be imported directly into your installation. Much of this will be done during the setup process after installation and JaMTech staff are available to assist.

    What can I change in Music Office?
     
    Many aspects of Music Office can be customised. Items such as navigation buttons, exam systems, cataloguing formats, list display, letter contents and other tools can be customised to individual school preferences.
     
    Can photographs be imported into Music Office?
     
    Music Office offers the choice of publishing rolls with and without photos. Photos may be imported from CD or individually placed.
     
    Can I write my own letters?
     
    Music Office contains templates for various form letters that can all be edited for each school as well as blank templates letters.
     
    Does Music Office have a mail merge function?
     
    Many of the customisable form letters and excursion forms have mail merge capability and Music Office can print envelopes and address labels for any predefined set of students or parents.
     
    Can Music Office work with a 10 day timetable?
     
    Music Office provides templates that cover a variety of timetable cycles and daily schedules.

    Can I get assistance to set up Music Office?
     
    JaMTech staff are available for a small fee to assist in the installation and set up of Music Office.
     
    Are updates available?
     
    JaMTech provides an annual update incorporating new exams fees etc. that can be purchased and downloaded via the web site. From time to time JaMTech will issue a free maintenance update, again available on the web site.

    What is needed to network Music Office?
     
    Music Office can be installed on a network and operated by a single user from any computer connected to the network without any additional software. Simultaneous network use from multiple computers is possible when used in conjunction with FileMaker Pro versions 8, 9, 10 or 11. A version for FileMaker Pro 12 is also available on request. A mix of versions and platforms is possible. Each computer accessing Music Office over a network needs to have a licensed installation of FileMaker Pro to have remote access to the master copy of Music Office which can be hosted anywhere on the network. Hosting with FileMaker Server is recommended for extensive network use.

    What security is provided for data?
     
    Music Office has password security built in. Schools would appoint one or more administrators for Music Office who have complete access to view, create and delete records. Other users will have individual password access to view and/or create only.
